How do I invite users and assign licences?

Short answer

This guide explains how to invite new users and assign licences via the Constellia admin portal.

There are three user types:

User types

  • Licensed users: they have full access to the Constellia application.
  • Licensed administrators: they have access to the application and the admin portal.
  • Unlicensed administrators: they only have access to the admin portal. You cannot add unlicensed users directly. Adding licensed users or administrators requires an available licence.

Steps to invite users

  • Go to the "Users" menu in the admin portal.
  • In the top-right of the users table, click the "Add" button.
  • Select the user type to add: administrator or user (via CRM, email, or CSV file).

1. Add via CRM

Important: the number of licensed users or administrators you can add is limited by the number of available licences. You can, however, add as many unlicensed administrators as you want.

  • Click the "Add" button and select "Add users" or "Add administrators". A table will display the users from your CRM.
  • If you are adding administrators, choose whether you want to assign them a licence or not.
  • Once you have made your selection, click "Confirm".

2. Manual add

Important: the number of licensed users or administrators you can add is limited by the number of available licences. You can, however, add as many unlicensed administrators as you want.

You can also add users or administrators manually via their email address.

  • Click the "Add" button and select "Add users" or "Add administrators".
  • Then click "Add a user manually".
  • Enter the email addresses of the users to add, separated by commas or semicolons.
  • Press "Enter" to add the addresses to the list.
  • Once you have made your selection, click "Confirm".

3. Add users via CSV file

⚠️

Important: this method only lets you add users. The number of users you can add is limited by the number of available licences.

You can also add users by importing a CSV file.

  • Click the "Add" button and select "Add via CSV file".
  • Download the provided CSV template.
  • Fill out the CSV file by following the template instructions carefully.
  • Drag and drop the CSV file into the Constellia web app.
  • Click "Confirm" to add the users.

If the CSV file contains errors, you will be prompted to correct them and submit the file again.
